Information being collected

The information about tournament participants that is collected on the registration form is the only information about participants that will be gathered for the operation of the tournament. No other information other than the categories stated on the form is necessary to identify individual participants within the tournament.

 

The categories on the form (unless changes are made) are:  

 
•    Date of birth
•    Name (first and last)
•    Tag (alternate name)
•    Team name
•    Email address

 

For individuals who wish to send a query on the “contact” page, only an email address needs to be provided. Individuals do not need to register entry into a tournament to complete a form on the “contact” page of this website. 
All the information that is collected on this website is gathered by the website administrator. 

 

All the information gathered about tournament participants will be collected through the forms on the “Register entry” or “contact” page on this website. No other area or page of this website will require your personal information.

 

The information provided by registrants will not be shared with any third-party organisations. The information gathered will only be used for the purpose of organising a tournament or, for consenting registrants, sending email marketing which will be sent directly from the website administrator.   

 

How your information is used

The following way your information is processed comes under the “consent” category in Article 6 under the GDPR (General Data Protection Regulation). This means that without your consent, Guerrilla Tournament will not be permitted to process your information in following ways:

 

Register entry form

 

Email address

This information is being collected to:

- Send registrants an email to confirm that their registration has been successful.

 
- Send emails to registrants about details of the tournament they have registered for. These details include the date, time and location of the tournament that the participant has registered for.

 

- Send information to registrants who have consented to receiving email marketing about the next tournament. 

 

- Contact registrants about attending the next scheduled tournament if they register for a tournament that has reached the entrant limit. 

 

Email marketing

The lawful base for processing this data will be under the “consent” category in Article 6 under the GDPR. This means that Guerrilla Tournament will be unable to send email marketing to registrants without the registrants consent.

 

For registrants who consent to receiving email marketing, your email will be stored only to receive information about the next tournament. Your details will be stored in a secure database which is anonymised. This means that consenting registrants will not be identified by their first or last name. Instead these registrants will only be identified by their email address and date of birth. These emails will be sent on a periodic basis leading up to the date of the next tournament


  
Withdrawing consent for email marketing

To withdraw your consent to receiving email marketing, registrants should follow the “withdraw email marketing consent” link on the “Register entry” page and follow the instructions. Once this is done your email and your details will be deleted from our database and you will no longer receive marketing emails.

 

Name, Tag, Team name

This information will be used to:

- Identify how many participants have entered a tournament so that the tournament does not go over the entrant limit

 

- Identify individuals and their teams on the day of a tournament  

 

- Place individuals and their teams into their fixtures before the day of a tournament

 

Date of Birth

This information will be used:

- To verify whether the registrant is of the appropriate age to play the video game featured in a tournament.

 

- As a factor when considering which consenting registrants will receive marketing material for a tournament. The factors of deciding which consenting registrants will receive email marketing will vary but the main factors will be:

 

- Age restriction of the game featured in the tournament

 

- Location of the tournament E.g. If a tournament is hosted in a pub/bar then consenting registrants aged 18 and over would qualify to be sent marketing materials about that tournament.     

 

Registrants who do not consent to email marketing

For registrants who do not consent to email marketing, the details you provide on the registration form will only be kept until the tournament you have registered for has concluded. After this your details for that tournament will be deleted. This process will be repeated every time you register for a tournament but do not consent to receive email marketing.

 

Contact form details

For individuals providing their email for a general query your email will only be used to respond to the specific query request. After responding to the query your email will be deleted from our database.
